How to Set Up Custom Alerts in Flowace?

Customize your alerts to keep track of productivity and identify problematic user behavior.

What Types of Alerts Are Available?

Flowace offers two types of alerts— Daily and Weekly.

How does Alert Work?

Flowace enables you to set up customized alerts to help monitor attendance and productivity effectively. These alerts can be scheduled as daily or weekly notifications, tailored to your organizational requirements.

Admins can create alerts for all employees in the organization. They can specify the conditions for sending notifications, decide who to monitor, who will get notified and choose which days of the week to send alerts as per the system timezone.

• Weekly Alerts: Sent based on the configured day and time.
• Daily Alerts: Sent based on the configured day and time.

How to Set Up Alert?

Step 1: Access the Alerts Section

1. Log in to your Flowace account.
2. Navigate to the Admin Settings on the left panel.
3. Select Alerts from the menu.

Step 2: Create a New Alert

1. Click New Alert to set up a customized alert.

Step 3: Configure Alert Setup

• Alert Schedule: Choose how often you want the alerts to be sent:
  • Daily Notifications: Alerts will be sent every working day.
  • Weekly Notifications: Alerts will be sent once a week, and you can specify the day of the week.
• Alert Type: Select the type of alert:
  • Attendance: Track attendance variables like start time, end time, or absent days.
  • Productivity: Monitor productivity metrics based on defined conditions.
• Alert Name: Provide a unique name for your alert to easily identify it later.

Step 4: Configure Alert Variables

1. Variable: Select the criteria to monitor. Options include:
   • Start Time: For tracking delays or early logins.
   • End Time: For monitoring logout times.
   • Absent: For highlighting absences.
2. Condition: Define the alert conditions, such as:
   • Greater Than
   • Less Than
   • Equals
3. Compare With: Specify the value to be compared against, e.g., a specific time or percentage.

   1. By: Set the threshold percentage if applicable.                                                                                                        OR

   2. By: Set the Time if applicable

Step 5: Customize Weekly Alerts

For weekly notifications:

1. Select Custom under “Apply Alert On.”
2. Choose the specific days you wish to receive notifications.

Step 6: Select Recipients

• Whom to Monitor? : Assign users or teams to monitor.
• Who Gets Notified? : Who will receive the alert notification email?  Select the checkboxes as required.
• You can further customize execution settings, such as the specific day and time the alert should be notified.

Step 7: Save and Activate

1. Review your alert settings.
2. Click Save to activate the alert.

Additional Notes

• By default, Flowace creates 4 alerts:

  1. Daily hours tracked
  2. Daily hours tracked (Weekly)
  3. No tracked time
  4. Unproductive time per day

  These alerts cannot be edited or deleted, admin can only clone them.
• Flowace allows full flexibility in customizing the alert name and variables, ensuring you receive tailored notifications.
• To edit or deactivate an existing alert, navigate to the alert section, select the alert, and make the necessary changes.
• To inactivate the Alert switch off the toggle button.
• You can clone the alert and also you can delete the alert.

By utilizing Flowace’s custom alerts, you can stay informed about attendance and productivity trends, making it easier to address performance concerns proactively.
